Administrative Assistant - Church
Qualifications:
1.
All church employees must be baptized Christian believers.
2.
Administrative or clerical experience which demonstrates the ability to perform the duties of the position in a professional and organized manner.
3.
Experience using computer and automation systems, including MS windows, Word, Excel, Access and Power Point.
4.
Must possess a basic knowledge of basic office procedures.
5.
Must be able to type with accuracy.
6.
Proficient in the use of standard office tools; fax, scanner.
7.
Must have excellent organizational skills to include:
command of English composition and punctuation.
8.
Must maintain confidentiality of church, staff and its members ACCOUNTABILITY:
1.
The administrative assistant is accountable to the Pastor and Board of Trustees.
2.
Periodic evaluations and reviews will be conducted by the Pastor and Chairman of the Board of Trustees.
JOB RESPONSIBILITIES AND DUTIES:
MEMBERSHIP COORDINATOR 1.
Maintain accurate records of FMBC members.
Obtain and record information required for all certificates, including Baptismal, Dedication, Membership, Marriage, and the like, in conjunction with church clerk and Pastor.
2.
Prepares certificates for baby dedications, church training, baptismal, new members, graduation, etc.
3.
Maintain current membership files and mailing list on church's computer database in conjunction with church clerk and Pastor.
4.
Notifies Pastor and the appropriate Deacon(s) of those members who have joined, are hospitalized, or confined to a sick bed.
5.
Responsible for sending flowers, cards, etc.
for members due to sickness, bereavement, etc.
PASTOR ADMINISTRATIVE ASSISTANT 1.
Assist in managing and coordinating the Pastor's schedule to include (speaking engagements, vacation, etc.
) 2.
Compose and type routine correspondence.
3.
Maintain the pastor's calendar.
4.
Answer telephone and handle telephone inquiries.
5.
Set up and maintain office filing system.
6.
Dictation and typing 7.
Other miscellaneous assigned duties as determined by the Pastor.
OTHER ADMINISTRATIVE DUTIES 1.
Administratively support Deacons as needed 2.
Assist with special events as needed (including revivals, vacation bible ) 3.
Distribute paper and electronic mail to individual Auxiliaries in the church.
4.
Retrieve mail and delivered packages.
5.
Coordinate and assist with special events as needed to include revivals, vacation bible, etc.
6.
Maintains adequate office supplies for all church offices.
7.
Other miscellaneous assigned duties as determined by the Trustee Chairman.
8.
Assists in administrative support to all Auxiliaries at FMBC as needed 9.
Coordinate and assist with special events as needed (including revivals, vacation bible ) 10.
Prepare bulletins for scheduled Church Services and special programs as requested.
GENERAL REPONSIBILITIES:
1.
This position is an exempt (salaried) position.
2.
Suggested office schedule is 9 AM to 6:
30 PM, Monday through Thursday; and 9 AM to 1 PM on Friday.
Hours may have to be adjusted based on needs of church.
3.
Administrative Assistant must report to work promptly at the assigned times.
PERSONAL CODE OF CONDUCT:
1.
First Missionary Baptist Church may terminate the Employee for any serious act of misconduct by Employee, including (but not limited to) any act of dishonesty, theft, or misappropriation of Church property; moral turpitude, insubordination, conviction of a felony or employment or drug related misdemeanor; or intoxication or being under the influence of a psychoactive substance when performing duties under this contract or when attending scheduled church events or appearances; written or spoken language that is offensive, obscene, or vulgar; or any act injuring, abusing, or endangering others.
SALARY:
1.
Salary and benefits commensurate with education and experience.
2.
Vacations and holidays granted with pay after 6 months of service:
a.
A written request to the Pastor and Trustee Chairman is required one week prior to the desired time of leave.
TERM:
1.
This job contract must be renewed biennially, starting from the date of signed contract.
2.
This job has a 90-day probationary period.
